Getting started

How do I create my Referys account?

Go to app.referys.com/auth/register, enter your email and a password. You'll receive a confirmation email, click the link and you're in. The 14-day Pro trial starts automatically (30 days if you have a referral code).

How do I import my existing contacts?

On the Network screen, you have 3 options: CSV import (template downloadable from the app), manual entry one by one, or copy-paste from your phone. On iOS, the native app offers direct sync with your iPhone contacts. You can always merge duplicates afterwards.

How do I set up my 7 segments?

The 7 segments are predefined (Close ones, Clients, Landlords, Buyers, Extended circle, Tribe/interests, Referrals). Each time you add a contact, you choose their main segment. You can change a segment at any time from the contact card.

How do I send my first message?

Open a contact card, pick one of the 42 available templates or let Pepito generate a personalized message. Validate, copy, paste into WhatsApp. The sent message is automatically logged in the contact's history.

What does a typical first week look like?

Day 1: contact import + quick segmentation. Day 2-3: validate your segments and identify your 20 priority contacts. Day 4-7: send 2-3 messages per business day to test your Pepito voice. Realistic goal: 10 touchpoints + 10 additions per business day over the long term.

My network

The Network module is the backbone of Referys: it's where your relational portfolio lives.

What's the difference between the 7 segments?

Close ones (P): family and close friends. Clients (A): people you've sold to or rented for. Landlords (B) and Buyers (D): active pipeline. Extended circle (E): pro acquaintances. Tribe (T): communities and shared interests. Referrals (R): who referred business to you. Each segment has its own default follow-up cadence.

How do I create a tribe?

A tribe is a sub-group within the T segment (interests, club, association, sport, neighborhood). You create one from the Network screen via Tribes then New tribe, name it (e.g. Narbonne padel club), then add existing contacts. A tribe lets you send a contextual message to the whole group.

How do I merge duplicate contacts?

When Referys detects a duplicate (same phone or same email), a badge appears on the card. You click Merge, choose which card to keep as primary, and the history of both is combined. You can also trigger detection manually from Network then Duplicates.

What's the difference between archive and delete?

Archive: the contact disappears from active lists but remains viewable and restorable. No follow-ups are triggered anymore. Delete: permanent GDPR erasure, irreversible. Prefer archive in 99% of cases — a dormant contact can become active again in 5 years.

How do I import contacts from my phone?

On iOS (native app), go to Settings then Sync iPhone contacts: choose which contacts to import (manual selection or all). On Android, use the VCF export from the Contacts app then CSV import in Referys. The phone stays the source, Referys adds the relational layer.

What's the follow-up cadence per segment?

By default: Close ones every 30-45 days, Clients every 90 days then annually, Landlords and Buyers based on the pipeline, Extended circle every 60-90 days, Tribe based on group frequency, Referrals on each active engagement. You adjust each cadence in Settings then Cadences.

Seller pipeline

The Pipeline module manages only the seller phase (from incoming contact to signature and beyond).

How do I create a seller file?

From Pipeline then New seller file, you enter the contact (existing or new), the property address, type, valuation and planned valuation date. The file starts at status Valuation to schedule and progresses at your pace through the 6 statuses.

What are the 6 statuses of the seller pipeline?

Valuation to schedule, Valuation done, Listing agreement signed, Marketing, Sale agreement signed, Sold (final deed). You can also move a file to pause (seller reconsidering) or lost (other agency, withdrawal, etc.) at any time.

How do I configure AI follow-ups by phase?

Each status has a default follow-up sequence (D+3, D+7, D+14 depending on the phase). You can adjust them from Pipeline then Settings then Sequences. Pepito suggests the content of each follow-up based on the file's context (age, last interaction, price, property type).

How does post-transaction follow-up work?

Once a file moves to Sold, 4 automatic messages are scheduled over 365 days: D+7 (congrats + first tips), D+14 (move-in check), D+30 (referral request), D+365 (purchase anniversary). Each message is editable before sending.

How do I put a file on pause?

From the file card, click the menu and choose Pause. Pick a reason (seller reconsidering, awaiting inspection, estate in progress…) and a planned resume date. All AI follow-ups are suspended until resumption.

Buyers and rentals

The Buyers module manages your client demand (purchase or rental) with a qualification score.

How do I create a buyer file?

From Buyers then New file, enter the contact, project type (purchase or rental), budget, geographic area, criteria (bedrooms, surface, property type) and timeline. The score out of 100 is calculated automatically from the data entered.

How does scoring out of 100 work?

The score combines 4 axes: brief precision (area, budget, criteria), motivation (timeline, project reason), capacity (financing validated or not), engagement (responsiveness, meetings held). Above 70 the file is mature, below 40 you need to requalify or archive.

How do I run a match with my seller pipeline?

From the buyer card, click Matching: Referys lists the properties in marketing in your pipeline that match the area, budget and criteria. You can directly generate a send message for the property to the buyer.

How does the -90 day end-of-lease alert work?

For a rental file, you enter the planned end-of-lease date. Referys triggers an alert 90 days before the end to follow up with the landlord (renewal or new tenant). The message is generated by Pepito taking context into account (current tenant, lease length, local market).

How do I use the 42 system templates?

The 42 templates cover all common situations (post-sale, follow-up, seasonal, professional, referral…). Open a contact card, click Templates: Referys suggests the most relevant ones based on the contact's segment and context. You customize and send.

How do I generate a personalized AI message?

From a contact card or a file, click Pepito. It suggests 1 to 3 message variants based on the full context (exchange history, segment, active file, contextual signals). You choose, adjust, send.

How do I configure my Pepito voice?

In Settings then Pepito, you configure your first name, gender, tone style (cool, pro, friendly), your usual opening and closing phrases, and you can upload 5 to 10 examples of your real WhatsApp messages to train Pepito on your voice.

How do I send an email campaign?

From Communication then New campaign, choose your target segment (or a tribe), write the email (Pepito can help), preview and send. Email campaigns are included on the Pro and Unlimited plans with a monthly quota detailed on the Pricing page.

How do AI credit quotas work?

Starter plan: 50 AI credits per month (≈ 50 generated messages). Pro plan: 1,500 AI credits per month. Unlimited plan: no cap. One credit = one message generation or Pepito suggestion. Unused credits don't roll over to the next month.

Pepito (AI)

Pepito is your AI copilot: it watches your network and suggests the right moves at the right moment.

What's the difference between daily nudge and free chat?

Daily nudge: Pepito suggests 3 to 5 concrete actions every morning (follow up with X, congratulate Y on their birthday, schedule a valuation for Z). Free chat: you ask Pepito your own questions (who do I follow up with today, generate a message for this contact, summarize my pipeline). Free chat doesn't have access to template or sequence creation tools.

How do I configure Pepito (name, gender, style)?

In Settings then Pepito: choose how Pepito addresses you (first name, masculine/feminine/neutral), your communication style (warm, direct, friendly), your area of activity and specialties. The more you fill in, the more Pepito personalizes its suggestions.

Can I create a contact by talking to Pepito?

Yes. In free chat, write for example: Create a contact for Marie Dupont, 06 12 34 56 78, past client 2024. Pepito creates the card, segments automatically and confirms. You can then add notes or a file while staying in the conversation.

How do contextual signals work?

Pepito watches 21 Signal Layer signals: birthdays, anniversaries, declared life events, seasonal windows, local market signals, dormancy, exchange feedback. When a signal becomes relevant, it appears in the daily nudge with a suggested action.

Reporting and stats

The Reporting module gives you the picture of your business health, without a heavy machine.

How does the goal simulator work?

From Stats then Simulator, set an annual goal (e.g. 12 seller listings signed). Referys calculates how many touchpoints per business day and additions per week you'll need, based on your historical conversion rates.

What are the 4 network health levels?

Critical (dormant network, few recent touchpoints), Fragile (irregular activity), Healthy (regular pace, balanced segments), Excellent (cadence exceeded, quality touchpoints, signals nurtured). The level is calculated over a rolling 30 days and appears at the top of the Stats screen.

How does the segment or channel drill-down work?

From Stats, you can filter by segment (P, A, B, D, E, T, R) or by channel (WhatsApp, email, call, in-person meeting). For each combination you see volume, cadence, response rate and average response time.

How do I export my stats to CSV?

From Stats then Export, choose the period and scope (touchpoints, additions, files, conversion). The CSV downloads instantly. You can also schedule an automatic monthly export sent by email.

Subscription and billing

What's the difference between Starter, Pro and Unlimited?

Starter: 50 AI credits per month, essential features. Pro: 1,500 AI credits per month, full modules (pipeline, buyers, email campaigns, Pepito free chat). Unlimited: no AI credit cap, priority support. Full details on the Pricing page.

How does the 14-day Pro trial work?

Every new account starts automatically with a 14-day trial of the full Pro plan, no credit card. If you have a referral code at signup, the trial extends to 30 days. At the end of the trial, you choose your plan or move to free Starter.

How do I change plans?

From Settings then Subscription, choose the new plan. The change is immediate. If you upgrade mid-month, the difference is prorated. If you downgrade, the new price applies on the next cycle.

How do I cancel my subscription?

From Settings then Subscription then Cancel: your access stays full until the end of the billed cycle, then your account moves to free Starter. Your data stays intact. You can reactivate at any time without losing anything.

What happens to unused AI credits?

AI credits don't roll over from one month to the next: each month resets to zero based on your plan (50 for Starter, 1,500 for Pro, unlimited for Unlimited). This is intentional, to avoid encouraging credit hoarding — credits are there to serve your activity for the month.

Data and security

What you should know about security, GDPR and the portability of your data.

Where is my data hosted?

All data is hosted in the European Union (EU data centers), in line with GDPR. No data is transferred outside the EU. Hosting is provided by Supabase (eu-central-1 region) and Vercel (EU regions).

How do I export all my contacts to CSV?

From Settings then Data then Full export, you download a CSV that contains all your contacts, segments, files, exchange histories and notes. It's your business: it follows you even if you change brokerage or leave Referys.

How do I change or add a password?

From Settings then Security then Password: you can change your current password or create one if you use magic-link authentication. Two-factor authentication (2FA) is also available if you want an extra layer.

How do I delete my account permanently?

From Settings then Account then Delete my account. Confirm by email, then your account and all associated data are erased within 30 days (GDPR retention for billing records). CSV export remains available until effective deletion.
